Registration Information

Registration includes all materials, hosted meals, refreshment breaks and the reception. Lodging and travel costs are at the registrant’s expense.

Guest registration is limited to one adult guest (21 years or older) who is not a dental education colleague. The registered adult guest may attend all meal functions and evening receptions.

Cancellations

To receive a refund for your conference registration, you must submit a written cancellation by Tuesday, July 1, to the registration team at meetings@adea.org.
ADEA will issue a refund—minus an individual $75 processing fee—after the meeting’s conclusion. Cancellation requests received after Tuesday, July 1, are not eligible for refund or credit. Refunds or credits will not be given for failure to attend, late arrival, unattended events or early departure.

Reserve Hotel

The deadline for all hotel reservations is Tuesday, July 1, 11:59 p.m. PT.

• All rates are per room, per night and are subject to a 13% room tax. Tax is subject to change. The rate for each additional person age 18 and older in a room will be $20 plus applicable taxes per person, per night.
• The deadline for all hotel reservations is Tuesday, July 1, 2025, 11:59 p.m. Pacific Time, or when the group rate rooms sell out—whichever occurs first. We encourage you to book early. There is no guarantee of the conference rate or room availability for reservations made after the deadline has passed.
• Please note: ADEA is unable to accept or process hotel changes or cancellations.
  

Hotel reservations can be made online or by calling the Prince of Wales Hotel. If you would like to reserve additional nights, you will need to contact Room Reservations directly at (888) 669-5566, select Option 1 and mention Group ID “3889525” when making reservations. Rooms have not been contracted on any additional nights and are subject to Hotel availability at the regular room rate.

You are responsible for making your hotel arrangements directly with the property. The meeting registration fee does not include hotel arrangements, flight, ground transportation or any incidentals related to traveling to the meeting.

Check-in/Check-out Time

Hotel check-in time is 3:00 p.m. or earlier as rooms become available. Check-out time is 11:00 a.m.

Cancellations

Hotel reservations may be cancelled up to 72 hours prior to your reserved arrival date at no charge. For cancellations made after the time noted, the hotel will retain the room deposit of one night plus applicable taxes.
