Meeting the Moment—the 2026 ADEA Sections on Business and Financial Administration and Clinic Administration Meeting (ADEA BFACA)—brings together professionals shaping “the business side” of oral health education in a highly focused, member-driven forum. Join colleagues this October for ADEA BFACA, the only meeting designed by experienced business and financial administration and clinic administration leaders, especially for the business and financial administration and clinic administration community.

Meeting the Moment brings our community together to focus on real-world priorities, complexities, and challenges that face our community today. Through practical tools, candid dialogue and peer-informed programming, colleagues offer one another timely, relevant insights grounded in the evolving needs of the business, financial and clinic administration communities. Together, we will look to transform complex challenges into opportunities for resilience, innovation and growth.

The robust agenda is tailored to meet the needs of our community of professionals across the spectrum—from seasoned administrators to those stepping into leadership roles. With a dynamic mix of presentations, interactive panels and facilitated discussions, attendees will engage in cross-functional collaboration across institutions and roles while building meaningful connections with colleagues and ADEA Corporate Members.

Our shared goal is to meet this moment by strengthening business and clinical operations at our institutions by delivering actionable strategies and takeaways attendees can immediately put into practice. All who are interested in business, financial and clinical administration—and who are eager to engage with a community actively shaping the future of this work—are welcome to attend.

Registration Information

The deadline for online registration is Friday, Sept. 18. After this date, registrations will only be taken on site.

Registration fees for this event are based on individual ADEA membership. You must be a current ADEA member to qualify for the member registration rate. If you are not a current ADEA member, the non-member rate will apply. (Join or renew your ADEA membership at adea.org/join.)

Registration includes all materials, hosted meals, refreshment breaks and receptions. Lodging and travel costs are at the registrant’s expense.

Attendance Policy

An invitation to attend this meeting is extended to all those interested in business, financial and clinic administration. Individual membership in ADEA is not required to attend this meeting.

Guest Policy

Guest registration is limited to one adult guest (21 years or older). The registered adult guest may attend any meal functions, offsite activities and/or evening events—provided the guest registration fee has been paid.

Guests are not permitted to attend programming sessions. Individuals under the age of 21 are not permitted at events where alcohol is served.

Registration payments must be received to collect your conference badge on site.

Credit Card Payments

Credit card payments can be made online at adea.org/invoice by entering your customer ID and invoice number. This information can be found in the confirmation email sent from meetings@adea.org at the time you register.

Financial disclaimer for credit card payments: ADEA reserves the right to charge the correct amount if it is different from the total payment made at the time of registration.

When paying by check, a copy of your registration confirmation must accompany your payment.

Cancellations

To receive a refund for your conference registration, you must submit a written cancellation by Friday, Sept. 18 to the Registration Team at meetings@adea.org.

ADEA will issue a refund (minus an individual $75 processing fee) after the conclusion of the meeting. Cancellation requests received after Friday, Sept. 18, are not eligible for a refund or credit. Refunds or credits will not be given for failure to attend, late arrival, unattended events or early departure.

ADEA Code of Conduct

Media Policy

Registrants of ADEA events are not permitted to invite media to ADEA events without the express written consent and approval of the ADEA of Staff. Requests for media attendance should be sent to Bridget Barnes at BarnesB@adea.org by Friday, Sept. 18.

Health and Safety

The health, safety and well-being of our attendees, exhibitors, speakers and staff remain our highest priority. We continuously monitor weather conditions and public health developments that could impact the safety of our events.

As a precautionary measure, ADEA reviews guidance, advisories and warnings issued by public health and emergency management authorities, including the Centers for Disease Control and Prevention and the World Health Organization, as well as local, state and federal agencies for outbreaks of any infectious diseases, changes in weather conditions or other circumstances that pose a risk to attendees where we may advise against travel or gathering. In such cases, we may implement appropriate event modifications to include postponement or hosting the meeting virtually.

ADEA may take photos, screen shots and record video at this event. By registering for this event, you give ADEA, and its and media partners, permission to use any photos, screen shots and videos taken during the event (live or virtual) in which you appear, as well as any written comments you submit on evaluation forms, in chat-box, or on social media to be recorded or used for ADEA’s promotional purposes.

In response to member requests to share the rich content found in chats, ADEA may download chat-box posts and share this unedited content with conference attendees for their individual informational purposes.

  • All rates are per room, per night and are subject to a 17.5% tax for King or Queen/Queen occupancy.
  • Rates are available three days before and after the event, based on availability.

Hotel room reservations can be made online or by calling 800-468-3571.

The deadline for making hotel reservations at the group rate is Friday, Sept. 18, or when the group rate rooms sell out—whichever occurs first. After Sept. 18, reservations for the ADEA room block at the group rate are subject to availability. The room block may be filled before the deadline, so we encourage you to make reservations early.

You are responsible for making your hotel arrangements directly with the property. The meeting registration does not include hotel arrangements, flight, ground transportation or any incidentals related to traveling to the meeting.

Check-in/Check-out Time

Hotel check-in time is 4:00 p.m. or earlier as rooms become available. Checkout time is 11:00 a.m.

Cancellations

Please contact the hotel directly if you need to cancel your reservation.

Reservations may be cancelled up to 72 hours prior to the reserved arrival date at no charge. For cancellations made after the time noted, the hotel will retain the room deposit of one night plus applicable taxes.
