The registration deadline is May 12, 2023. After May 12, registrations will only be taken on site.

 

While we look forward to the return of a face-to-face conference, there is no higher priority than the safety and well-being of ADEA members and staff. Accordingly, we continue to monitor the status of the COVID-19 variants and their impact on the operational status of our ADEA Member Institutions.

ADEA will implement health and safety protocols appropriate to the public health circumstances existing at the time of the conference.

Those protocols may include, but are not limited to:


  • Testing;
  • Proof of negative COVID-19 status and/or vaccination and/or antibody status;
  • Self-monitoring;
  • Biometric screening;
  • Symptom checkers;
  • Contact tracing;
  • “Wearing a mask” mandate;
  • Use of additional personal protective equipment, social distancing and space management; and
  • Other similar measures, etc.

⚠ These protocols may be updated or adjusted.


Compliance with some or all the protocols adopted by ADEA will be mandatory for in-person attendance and participation at the conference. Additional information regarding the specific health and safety measures, and any necessary consents by you, will be communicated prior to the first day of the conference.

Failure to adhere to or comply with the safety protocols in place may result in removal from the event and/or event premises.

Hotel room reservations can be made online, by calling 317-262-8100 or by directly calling the hotel’s reservation department at 1-800-WESTIN-1.

  • The negotiated room rate for ADEA attendees is $185 per night for single/double occupancy, plus applicable taxes (currently 17 %).
  • The deadline to make hotel reservations at the group rate is Friday, May 12, 2023 or when the group rate rooms sell out, whichever occurs first. After Friday, May 12, reservations at the group rate will be accepted only on a space-available basis. The room block may fill before Friday, May 12, so we encourage you to make reservations early.
  • Please contact the hotel directly if you need to cancel your reservation. Reservations may be cancelled up to 72 hours prior to your reserved arrival date at no charge. For cancellations made after the time noted, the hotel will retain the room deposit of one night plus applicable taxes.
  • Hotel check-in time is 4:00 p.m. or earlier as rooms become available. Check-out time is 11:00 a.m. Please contact the hotel directly if you need to cancel your hotel reservation.
  • You are responsible for making your hotel arrangements directly with the property. The registration fee does not include hotel arrangements, flight or ground transportation or any incidentals related to traveling to the meeting.

 

The ADEA hotel block rates are available three days before and after the program dates based on guest room availability.

 

The closest airport is Indianapolis International Airport. The hotel is approximately 12.5 miles from the airport or a 15-minute ride, depending on traffic.

  • Taxi service is available at the curb on the lower level of the airport terminal just outside of baggage claim. There is a $15 minimum charge for all fares from the airport, regardless of distance.
  • Uber and Lyft services are available from the airport to The Westin Indianapolis.

When using these services for pick-up, exit the terminal to the ground transportation center on the first floor of the terminal garage.

Attire for the meeting is business casual. We also recommend layers to offset temperature fluctuations across meeting spaces.

The average high temperature in Indianapolis in June is 81 degrees F; the average low is 50 degrees F.

Guest registration is limited to one adult guest (18 years or older) who is not a dental education colleague.

The registered adult guest may attend all Saturday and Sunday evening events. Individuals under the age of 21 are not permitted at events where alcohol is served.

 

To provide an appropriate professional setting, ADEA does not allow children under the age of 18 to attend any conference functions.

We request that you arrange for the supervision of children who accompany you.

Speaker presentations will be provided in the online program planner, which will be made available closer to the event.

 

Yes. An email with instructions on how to obtain CE credits will be sent to all attendees after the conference.
