Q: What is the ADEA Postdoctoral Application Support Service (ADEA PASS)?

A: ADEA PASS is a centralized application service for more than 525 participating advanced dental education programs. This service is available to all individuals applying to advanced dental education programs participating in the application service. ADEA PASS simplifies the application process by providing one standardized format, relieving applicants of the need to complete multiple applications. ADEA PASS serves only as an information clearinghouse and does not influence the programs' appraisal or selection of applicants. Each advanced dental education program has the right to request supplemental information from applicants.

Q: Can I submit a letter of evaluation in place of the eForm Professional Evaluation or the Paper Professional Evaluation Form?

A: No, ADEA PASS cannot accept letters submitted on behalf of an applicant. ADEA PASS only accepts and processes evaluations submitted through eForms or on the ADEA PASS Paper Professional Evaluation Forms. Space is provided in those forms for evaluator comments. An application will be considered incomplete and processing will be halted until the evaluation is received in one of the two approved formats.

Q: What is the difference between a Paper Evaluation Form and eForms?

A: Evaluations can be provided by utilizing either eForms (electronic) or the paper Professional Evaluation Form, which can be downloaded and printed by the applicant and supplied to you. ADEA PASS strongly recommends the use of eForms as they expedite the processing of the applicant and eliminate lost forms.

Q: What is the difference between a Professional Evaluation and an Institution Evaluation?

A: A Professional Evaluation is completed by an evaluator (usually dental school faculty) who comments on the applicant's suitability for advanced study. The Institution Evaluation is the form the dean or designee uses to report statistical information such as class rank, GPA, cumulative GPA, and Part 1 and 2 of the NDBE Scores, as well as comments about the applicant's suitability for advanced study. Both the Professional Evaluation and Institution Evaluation provide the opportunity to evaluate the student by using standardized evaluation criteria and personalized comments.

Q: What is an eForm?

A: An eForm is an electronic evaluation program utilized by applicants and evaluators to request track and submit online Institution and Professional Evaluations. The applicant must have the email address of the Professional Evaluator(s) in order to submit an eForm request. ADEA PASS strongly encourages the use of eForms, as they expedite application processing and reduce the change of lost forms.

Q: How can I obtain my username and password?

A: When an applicant submits a request, the username and password are provided by email from ADEA PASS.

Q: I forgot my username and password - how can I receive them again?

A: You can click the "Forgot Your Password" icon and enter your email address used for your account. Your username and password will be immediately emailed to that account.

Q: How do I modify my contact information?

A: Simply log in to your account and click 'My Profile' to update your contact information.

Q: Can I utilize two different email addresses on one account?

A: If you use two different email addresses, you will have two separate accounts. You must pay close attention to the email sent to you by ADEA PASS so that you log into the correct account. ADEA PASS recommends that evaluators use one account to limit the problems associated with multiple accounts.

Q: I have accessed my eForms account and reviewed and saved my contact information, but I am not able to view the list of students. What should I do?

A: Please verify that all required fields, which are indicated by a red square, are complete. The listing of applicants will only appear after your account has been validated by entering all required fields and the contact information has been saved.

Q: I received an email from ADEA PASS indicating that a student was posted for a evaluation; however, when I sign in the student is not on the list. What should I do?

A: Carefully check the email address provided in the email received. It is possible that your student used another email address. If the email address is different, you must log in using the information in the email and monitor your secondary account. If the email addresses are identical, send an email message to passinfo@passweb.org to report the situation. Please include your name and telephone number.

Q: What is the due date for completing and submitting Institution and Professional Evaluation eforms?

A: The due date is determined by the ADEA PASS deadline(s) of the student's selected program(s). Please contact the student directly to determine when the evaluation must be received by ADEA PASS.

Q: The student states that an eForm Professional Evaluation Request Email has been sent and a confirmation email was received by the student, but I have yet to receive the email - what should I do?

A: Please follow the steps below:

Confirm the accuracy of the email address used by the student.

Check your filtered or bulk mail folders. The PASS eForm Evaluation Request Email is an automatically generated email, and it may be recognized as spam.

Whitelist or add the passinfo@passweb.org and norepy@adea.org email addresses or the adea.org domain to your approved senders list, so that the Evaluation Request Email will be allowed to reach your inbox.

Ask the applicant to regenerate the ADEA PASS eForms Evaluation Request Email by accessing his or her ADEA PASS application, selecting Professional Evaluations, and then clicking the button in the "Resubmit" column to the right of the evaluator's name.

If you still do not receive the eForms Evaluation Request Email or are experiencing technical difficulties, please send a help request to passinfo@passweb.org. Please include your contact information, the name of the student, and a brief description of any error messages or the steps you are performing.

A: Please send an email requesting a designation update to passinfo@passweb.org, describing your situation and include your correct faculty affiliation (if any) as well as your complete contact information.

Q: I recently became a faculty member at a different dental school. Should my former students submit their eForms Professional Evaluation Request Emails to my current Faculty eForms account?

A: This request must be initiated by the applicant. Please see eForms for Applicants FAQs for more information.

Q: I submitted an evaluation for a student and later discovered that I had made a typographical error. How can I correct the information?

A: You may access the applicant's evaluation to correct the information until you have submitted the eForms evaluation. Once the evaluation has been submitted, you cannot make any changes to the evaluation.

Q: Can I copy and paste text from my word processing software into the comments section of the eForm Professional Evaluation?

A: Yes, it is recommended that you compose your comments in a word processing program so that you have features such as spell check and character count as well as the ability to save a copy of your comments for your records. Please note that there is a character limit for this section of the eForm. ADEA PASS recommends that you check your evaluation comments before you copy and paste.

Q: I have a student who is reapplying for postdoctoral programs, and I completed an eForm Professional Evaluation in a previous cycle - can that evaluation be reactivated?

A: You need to complete a new Professional Evaluation for the current cycle.

Q: How do I print a copy of completed Professional Evaluation eForms for my records?

A: Please log into your eForms account. To the right of the student's name in the "Printer Friendly" column, click the blue button.

Q: The website states that the evaluation that I completed for a student is "Complete." Is there something else I need to do?

A: An email will be sent to you and to the applicant acknowledging completion of the eForm. ADEA PASS has received the evaluation and will begin processing as soon as the applicant's Required Documents and ADEA PASS application are received.

Q: I completed an electronic evaluation (eForm) for a former student. I answered every question; however, I do not see the "Submit" button. What should I do?

A: Please review the evaluation for empty fields, then click the "Save" button. You will be returned to the summary page. If all required fields have been completed, the "Submit" button will appear to the right of the student's name. Please be aware that simply saving an eForm is not submitting the eForm. While the eForm is saved, you may make changes; however, once you have submitted the evaluation by clicking the "Submit" icon next to the applicant's name, you cannot modify the eForm.
