Q: What is an official transcript?

A: An official transcript is a record of the courses you have completed at a college or university. An official transcript must be issued from the Office of the Registrar, and contains an official seal or signature of the Registrar and a watermark. It is sent to ADEA AADSAS directly from the Registrar in a sealed envelope. Transcripts issued to students are considered unofficial and are not accepted by ADEA AADSAS. Also, any transcripts that are sent from the applicant to ADEA AADSAS are not accepted.

To help make sure your official transcript is handled properly by ADEA AADSAS, print the ADEA AADSAS Official Transcript Matching Form (in the Colleges Attended section of your application) and submit it to your Registrar's Office. Ask that the Form be included with your transcript when it is mailed to ADEA AADSAS.

ADEA AADSAS must receive an official transcript from every accredited institution you attended, even if coursework from one transcript is posted to another.

Q: If I have attended multiple colleges, will I need to forward a transcript from each school?

A: Yes. ADEA AADSAS must receive an official transcript from every accredited college or university you have attended, even if the courses from one transcript are posted to another.

Q: I have transfer credits that appear on my primary transcript. Will I need to forward all transcripts?

A: Yes. ADEA AADSAS must receive an official transcript from every accredited college or university you have attended, even if the courses from one transcript are posted to another.

Q: What if my transcript(s) is not received by ADEA AADSAS?

A: It is the applicant's responsibility to monitor the status of his/her ADEA AADSAS application and make sure that all materials arrive at ADEA AADSAS for processing. When you submit an official transcript request to your Registrar's Office, you may want to find out when they expect to send your transcript, and whether they will notify you when the transcript has been mailed. Allow up to two weeks after ADEA AADSAS receives your transcript for it to be posted to your ADEA AADSAS application.

If your transcript(s) have not arrived at ADEA AADSAS after a reasonable period of time, you may wish to contact ADEA Customer Service (617) 612-2045 or aadsasinfo@aadsasweb.org for additional assistance.

Q: Can I send a "student issued" transcript (unofficial) to ADEA AADSAS?

A: No. ADEA AADSAS accepts only official transcripts that are sent directly from the Registrar's Office. Unofficial, student-issued or hand-carried transcripts are not acceptable.

Q: Will ADEA AADSAS forward my transcripts to my designated schools?

A: No. The transcripts that you are required to forward to ADEA AADSAS are not forwarded to your designated schools. They are used in the processing of your application and remain with ADEA AADSAS. Some dental schools request that you submit official transcripts as a part of the supplemental application process.

You should be aware that in order to finalize your admission to a dental school, a set of final official transcripts from all colleges and universities previously attended may be requested.

Q: Do I need a form attached to the transcript before the registrar's office forwards it to ADEA AADSAS?

A: Yes. ADEA AADSAS requires that you print a Transcript Matching Form for each college/university you have attended. Each Transcript Maching Form is pre-populated with your name and a barcode that ADEA AADSAS uses to ensure that your transcript is matched to your application. Ask your registrar's office to attach the appropriate Transcript Matching Form to your official transcripts and send them directly to ADEA AADSAS.

Q: Where is the Transcript Matching Form located?

A: The Transcript Matching form is located in the Application Checklist that reads Colleges Attended (Transcript Matching Form).

Q: How do I print a Transcript Matching Form?

A: To Print the Transcript Matching form:

  1. Login to your ADEA AADSAS application
  2. Go to the Colleges Attended section of the Application Checklist (to the left of each of your colleges attended, in the first column you can print the ADEA AADSAS Transcript Matching Form).
  3. Click the link associated with the Colleges for which you have to print a Transcript Matching Form (this will initiate the download of a PDF file. You will need the Adobe Acrobat Reader to view and the print the file.)
  4. Print out and then complete the form and submit it to the Registrar's Office of the institution.
  5. Be sure to advise the Registrar's Office to enclose the Transcript Matching Form with your official sealed transcript and mail it directly to the AADSAS Transcript Processing Department. ADEA AADSAS has difficulty matching official transcripts that are not accompanied with the Transcript Matching Form which can result in a delay in processing your application.
  6. Be sure to print a Transcript Matching Form for each institution you have attended.

Q: What happens if I do not forward the Transcript Matching Form to the registrar's office to attach to my transcripts?

A: Official transcripts sent without the appropriate Transcript Matching Form may result in the delay of your application.

Q: I applied to ADEA AADSAS last year, ADEA AADSAS already has my transcripts. Should I forward my transcripts again?

A: Even though you applied previously to ADEA AADSAS, you must re-submit official transcripts. You must submit new transcripts each year you apply. ADEA AADSAS does not keep transcripts on file from previous years.
