Q: My evaluators have asked to submit paper letters of evaluation. What address should be used to submit them to ADEA AADSAS?

A: In the Evaluators section of the ADEA AADSAS application, indicate the names of your evaluators and other information requested. If your evaluators choose to provide ADEA AADSAS paper letters of evaluation, be sure to indicate the paper option when prompted. You will be instructed to print a Letter of Evaluation Matching Form specifically for each evaluator (each form will be pre-printed with the evaluator's name and a bar code associating the letter with your application). Request each evaluator to attach the LOE Matching form to the letter of evaluation and send to:

Q: Can I submit my letters of evaluation for my ADEA AADSAS application via Interfolio?

A: Yes. Applicants MUST list letters being provided to ADEA AADSAS by Interfolio as paper letters on their ADEA AADSAS application. Interfolio then delivers letters of recommendation electronically to ADEA AADSAS. We encourage you to include the the Letter of Evaluation Matching Form with each letter for faster processing. Upon receipt from Interfolio, materials are printed out by ADEA AADSAS in order to be added to your ADEA AADSAS application. There is no electronic link for Interfolio to upload the letter directly into your ADEA AADSAS application. Please note that this process will typically take no more than 5-7 business days to complete.

Q: Does ADEA AADSAS hold up the processing of my application until my letters of evaluation are received?

A: No. ADEA AADSAS does not delay processing if we have not yet received any or all of your letters of evaluation. If your letters arrive after your application has been sent to the schools, ADEA AADSAS will forward those letters to your designated schools in the next mailing that occurs after their receipt.

Q: My evaluators want to send my letters to my designated schools directly. What should I do?

A: Your evaluators can submit your letters to designated dental schools if they prefer. Your application will not be delayed if we have not received any or all letters of evaluation written on your behalf. (Because ADEA AADSAS has not processed letters sent directly to schools by evaluators, we cannot advise you about the status of these letters, nor can we include letters if you choose to apply to additional dental schools in the future.)

Q: How do I know if my letters of evaluation have been received by ADEA AADSAS?

A: To view the status of your letters of evaluation after initiating your ADEA AADSAS application,

  • Log-in to your ADEA AADSAS application;
  • Go to the "Status" section
  • Select Evaluators. The date of receipt and date mailed of each of your letters is listed. Letters are listed even if you have not yet submitted your ADEA AADSAS application.

Q: How do I know if my letters of evaluation have been sent to my designated schools?

A: Go to the Evaluators option in the Status section of your ADEA AADSAS application. The dates your letters were received and the dates they were sent to the dental schools are indicated.

Q: Can ADEA AADSAS use letters I've already submitted in a previous application cycle?

A: No. It is ADEA AADSAS policy that new letters of evaluation must be submitted with each application cycle.

Q: Can my letters be submitted electronically?

A: Yes. ADEA AADSAS offers evaluators the option of submitting Letters of Evaluation (LOE's) as either an online electronic document or as a paper letter that is mailed to ADEA AADSAS.

To use the electronic LOE process:

  • Log-in to your ADEA AADSAS application
  • Select Evaluators (LOE Matching Form)
  • Select "Add New Entry"
  • Select the "Electronic" reference type
  • Fill out sections accordingly
  • Check a box to indicate if the LOE is a Committee Letter/Report
  • Enter the evaluators name, institution, email address, and all required information.
  • Select Save

Q: Can I add evaluators after I e-submit my ADEA AADSAS application?

A: Yes. If you listed fewer than four individual evaluators when you initially submitted your ADEA AADSAS application (or one Committee Letter/Report), you can add name(s) to your Evaluators section later, even after you have submitted your ADEA AADSAS application. ADEA AADSAS will make the new evaluations available online to your designated dental schools as soon as they are received by ADEA AADSAS, and will provide print copies to your schools in their next mailing.

Q: When I originally submitted my application, I indicated the names and contact information about my evaluators. Since that time, one (or some) of my evaluators cannot provide me a letter. What do I do?

A: Go to the Evaluators section of the ADEA AADSAS application. Delete the names and information about the evaluators who will not be writing on your behalf. Insert the name(s) of the new evaluators and print new Letter of evaluation Matching Forms.

Q: Can I delete evaluators after I e-submit my ADEA AADSAS application?

A: Yes, you may delete evaluators after you e-submit your ADEA AADSAS application unless that evaluator's LOE has already been received by ADEA AADSAS. Once an LOE is marked as "received", that evaluator can no longer be deleted.

Q: Will ADEA AADSAS process letters that are not listed in the Evaluator section of my application?

A: ADEA AADSAS cannot process an LOE until that evaluator is listed in your application. Any letters that ADEA AADSAS receives from evaluators not listed in your application will be stored. Once you have listed the evaluator in your application ADEA AADSAS will process your LOE. ADEA AADSAS will NOT list the evaluator for you.

Q: What happens if my letters of evaluation are received by ADEA AADSAS after my application has been sent to the schools?

A: Letters received after your ADEA AADSAS application has been sent to your designated schools will be forwarded in the next mailing that occurs after their receipt. Check the Status bar to monitor the date letters are sent to your schools.

Q: I need to submit more than four letters of evaluation. What do I do?

A: ADEA AADSAS can accept up to four letters of evaluation (or one Committee Report plus one letter of evaluation). Contact individual dental schools regarding their policies of accepting additional letters of evaluation.

Q: Can I obtain a copy of my letters of evaluation?

A: It is ADEA AADSAS policy not to release letters of evaluation to applicants, even if you did not sign a wavier. Contact your evaluator or dental school if you wish to see your evaluations.

Q: What is a Committee Letter/Report?

A: Many colleges and universities offer a service of compiling letters of support on behalf of their applicants into a single Pre-dental Committee Letter or Report that is submitted to ADEA AADSAS instead of individual letters of evaluation. Committee Letters/Reports come in various formats including:

Committee letter composed by members of a pre-dental advisory committee that includes individual letters of support that are attached

Committee letter composed by members of a pre-dental advisory committee that does not have individual letters of support attached

Health professions advisor collects letters of evaluation on behalf of applicant and submits them under a cover letter from the advising office.

In most situations a Committee Letter/Report is sufficient to submit to ADEA AADSAS. However, because some schools do not permit the inclusion of letters of evaluation from individuals outside their university (and because most dental schools would like one letter from a dentist with whom the applicant has shadowed/mentored/discussed careers in dentistry), ADEA AADSAS permits applicants to submit one additional letter of evaluation in addition to the Committee Letter/Report.

If your institution does not offer a Committee Letter/Report service, it is perfectly acceptable to submit four individual letters of evaluation. Dental school admission committees prefer committee letters if they are available, but consider applicants equally whether they submit a committee letter or four individual letters of evaluation.

Q: A Predental Committee Letter/Report will be submitted to ADEA AADSAS on my behalf. Who do I indicate as the evaluator?

A: Check with your health professions advisors. In most situations, you indicate the name of the individual who will be submitting the committee letter. However, your advisor may designate that task to another individual and may provide you with another name and/or email address.

Q: A Predental Committee/Letter Report will be submitted to ADEA AADSAS on my behalf. Do I have to provide the names of all the evaluators whose letters are a part of the Committee Letter/Report?

A: No, do not indicate all evaluators listed in the Committee Letter. Check with your health professions advisor to determine the name of the individual who will be submitting the committee letter. For committee letters, indicate only one individual contact, regardless of the number of evaluations that may be included in the committee letter.
