General Information

Q:  What is the American Dental Education Association (ADEA)?

A:
ADEA is the leading North American organization for dental education. Our members include all U.S. and Canadian dental schools, advanced dental education programs, hospital dental education programs, allied dental education programs, corporations, faculty, residents and students. 

Q:  What is the Centralized Application for Advanced Placement for International Dentists (ADEA CAAPID)?

A:
ADEA CAAPID is available to all U.S and Canadian dental schools offering advanced standing to international dental graduates seeking a U.S. or Canadian dental degree for state or provincial licensure.

Q:  What browser should I use to view and complete the application?

A:
We recommend using the latest version of Microsoft Internet Explorer.

Q:  Where can I complete an ADEA CAAPID application?

A:
The ADEA CAAPID application is available online ONLY. Go to the ADEA CAAPID website in the left-hand panel “For Students,” select CAAPID, and follow the link to the ADEA CAAPID application. You can also directly access your ADEA CAAPID application by saving this link as a Favorite on your computer, https://portal.caapid.org.

 Applying to ADEA CAAPID

Q:  I forgot my username and password.  How can I obtain them again?

A:
To obtain your password, go to the ADEA CAAPID application, select the “Forgot Your Password?” link and enter the email address that was used to create your ADEA CAAPID application. You will be asked to answer your security question; then an email will be sent containing your password to your ADEA CAAPID application.

Q: What makes an ADEA CAAPID application complete?

A:
In addition to submitting your electronic application, the following required/optional paper documents must be submitted to ADEA CAAPID:

  • Processing fee (ONLY when paying by money order)
  • Official Evaluated Dental School Transcript from an acceptable Evaluation Service

Your application is processed immediately after receipt of these documents. Be sure to check the requirements of the programs you select—some have very specific requirements about which transcript evaluation service you should use.

Deadlines

Q:  When should I start the application process?

A:
ADEA CAAPID encourages you to start the application process as soon as possible after the application cycle opens on June 8, 2009. 

Q:  When will ADEA CAAPID be open to create an application?

A:
The 2009 ADEA CAAPID application became available on June 8, 2009. 

Application Fees

Q:  What are the processing fees to apply to ADEA CAAPID?

A:
The base processing fee, including one program designation, is $217 and each additional program designation is $68. 

Refunds/Withdrawing My Application

Q:  How do I withdraw my application?

A:
After you have submitted your application and materials, if you wish to withdraw your application, contact the dental schools directly.

Note:  ADEA CAAPID does not provide refunds for withdrawals.  

Completing ADEA CAAPID Application

Q:  When does ADEA CAAPID begin processing my application? 

A:
ADEA CAAPID begins sending complete applications to dental schools in July. Once your application is submitted, payment is received and your evaluated dental school transcript is received, your application will be processed immediately. 

Q:  How can I update my email address with my ADEA CAAPID application?

A:
When you log into your ADEA CAAPID application, go to “Account Information” under “My Tools.”

Q:  I copied my essay into the application but it is not formatted the way I want.  How can I format my essay?

A:
We recommend that you use Microsoft Word or WordPad to type, copy, and paste your text into the essay space provided. Select “Preview” at the bottom of the screen to view the formatting of your essay before you submit your application to ADEA CAAPID. For further instructions, visit the Applicant “Instructions For This Section” screen. Do not bold, italicize, or underline any of your text. 

Q:  I submitted my ADEA CAAPID application.  How do I make sure my application was received?

A:
ADEA CAAPID will send you an email notification upon receipt of your electronic application. Also, you MUST log into your ADEA CAAPID application to monitor the status of your application.

Q:  Once I have submitted my application how can I make changes or corrections?     

A:  Most sections of the ADEA CAAPID application cannot be updated after submitting to ADEA CAAPID. Those sections that can be revised are:  Account Information, Biographic Information, TOEFL, National Board Scores, and Evaluators. To make changes, corrections, or to update information, log into your application, make your entries and click save.

Q: How do I report my scores on the TOEFL?

A:  You must enter the score you received on each section of the TOEFL in the appropriate field of the ADEA CAAPID application, as well as the test date. Some dental schools may also require an official TOEFL score report to be sent directly to them. Check the ADEA CAAPID Directory for requirements.

Q:  If I do not have my TOEFL scores at the time I submit my application; will ADEA CAAPID continue to process, my application? 

A: Yes. ADEA CAAPID will process your application without the TOEFL scores. Keep in mind that some programs will not review your application until TOEFL scores (or other English language proficiency scores) are reported.

Q:  Should I have my National Board Dental Examination scores sent directly to ADEA CAAPID? 

A:
No.  Do not submit official National Board Dental Examination score reports to ADEA CAAPID. You must enter the score(s) you received on the NBDE in the appropriate field of your ADEA CAAPID application. You must also report your status (pass/fail). ADEA CAAPID does not return official National Board Dental Examination Score reports to applicants. Programs that are seriously considering you for admission may request that you submit an official set of National Board scores directly to them; other programs may request National Board scores only after you have been extended an offer of admission.

Additional Designations

Q:  How do I apply to additional programs after I have submitted my ADEA CAAPID application?

A: Log into your ADEA CAAPID application and select “Program Designations." Search for the program and click the box to select the program. Once all programs have been selected, click the “Pay Now” button to submit your additional program designation(s). Additional program designations are $68 each.  

Q:  How long does it take to process additional designations after initially submitting my ADEA CAAPID application? 

A:
ADEA CAAPID processes additional program designations as promptly as possible. If your application has already been made available to your original designated programs, the additional designations will be made available in the next mailing. 

Letters of Evaluation

Q: My evaluators have asked to submit paper letters of evaluation. What address should be used to submit them to ADEA CAAPID?

Note: If you choose to send your application materials via express service (e.g., UPS, FedEx, DHL) you must ship materials overnight delivery Monday through Thursday ONLY. Deliveries will not be accepted on Saturday, and ADEA CAAPID is not responsible for materials delivered during non-operational hours. 

Q: Does ADEA CAAPID hold up the processing of my application until my letters of evaluation are received?

A: No. Since letters of evaluation are not required to complete your application, ADEA CAAPID does not delay processing if we have not yet received any or all of your letters. If your letters arrive after your application has been sent to the schools, ADEA CAAPID will forward those letters to your designated programs in the next mailing that occurs after their receipt. 

Q: My evaluators want to send their letters to my designated programs directly. What should I do?

A: Your evaluators can submit their letters to designated programs if they prefer. Your application will not be delayed if we have not received any or all letters of evaluation written on your behalf. (Because ADEA CAAPID has not processed letters sent directly to schools by evaluators, we cannot advise you about the status of these letters, nor can we include letters if you choose to apply to additional dental schools in the future.) 

Q: How do I know if my letters of evaluation have been received by ADEA CAAPID?

A: To view the status of your letters of evaluation after initiating your ADEA CAAPID application,

  • Login to your ADEA CAAPID application
  • Go to the "Status" section
  • Select “Evaluators” the date of receipt and date submitted of each of your letters is listed. Letters that ADEA CAAPID has received are listed even if you have not yet submitted your ADEA CAAPID application.  

Q: How do I know if my letters of evaluation have been sent to my designated schools?

A: Log into your ADEA CAAPID application and go to “Evaluators” in the Status section of your ADEA CAAPID application. The dates your letters were received by CAAPID and the dates they were sent to the schools are indicated. 

Q: Can my evaluators submit their letters electronically?

A: Yes. ADEA CAAPID offers evaluators the option of submitting Letters of Evaluation (LOEs) as either an online electronic document or as a paper letter that is mailed to ADEA CAAPID.

To use the electronic LOE process:

  • Login to your ADEA CAAPID application
  • Select “Evaluators”
  • Select "Add New Entry"
  • Select the "Electronic" reference type
  • Fill out all sections  
  • Enter the evaluator’s name, institution, email address, and all required information 
  • Select “Save”

ADEA CAAPID will then send an email message to your evaluators, explaining the process of uploading Letters of Evaluation to ADEA CAAPID.

Q: When I originally submitted my application, I indicated the names and contact information for my evaluators. Since that time, one (or some) of my evaluators cannot provide me a letter. What do I do?

A: Log into your ADEA CAAPID application and go the “Evaluators” section of your application. Delete the names and information about the evaluators who will not be writing on your behalf. Insert the name(s) of the new evaluators.   Print new Letter of Evaluation Matching Forms if you are using the paper option. 

Q: Can I delete an evaluator after I submit my CAAPID application?

A: Yes, you may delete an evaluator after you submit your ADEA CAAPID application unless that evaluator's LOE has already been received by ADEA CAAPID. Once an LOE is marked as "received" by ADEA CAAPID, that evaluator can no longer be deleted. 

Q: Will ADEA CAAPID process letters that are not listed in the Evaluator section of my application?

A: ADEA CAAPID cannot process an LOE unless the evaluator is listed in your application. Any letters that ADEA CAAPID receives from evaluators not listed in your application will be retained and stored. Once you have listed the evaluator in your application, ADEA CAAPID will process your LOE. ADEA CAAPID CANNOT list the evaluator for you.   

Q: What happens if my letters of evaluation are received by ADEA CAAPID after my application has been sent to the schools?

A: Letters received after your ADEA CAAPID application has been sent to your designated programs will be forwarded in the next mailing that occurs after their receipt. Check the Status bar to monitor the date letters are sent to your schools. 

Q: Can I obtain a copy of my letters of evaluation?

A: It is ADEA CAAPID policy not to release letters of evaluation to applicants, even if you did not sign a waiver. Contact your evaluators if you wish to see your evaluations. 

My Application Status

Q:  How do I check the status of my application?

A: The easiest way to check your status is to login to your application and check the “My Application Status” section.  You may also contact CAAPID Customer Service via email caapidinfo@caapid.org or telephone 617-612-2035.

Q:  How will ADEA CAAPID update me on the status of my application?

A: ADEA CAAPID generally sends email messages to you only in the event of problematic materials.  Monitor the “My Application Status” section and “My Messages” in your application frequently. 

Q:  How can I determine if my evaluated transcript has been received?

A:
To view the status of your transcript after you have created your account:

  • Log in to your ADEA CAAPID application
  • Go to “Transcripts” in the “My Application Status” section of your application.  The date of receipt of your evaluated transcripts is listed. Your transcript is listed—if it has been received by ADEA CAAPID—even if you have not yet submitted your ADEA CAAPID application. 

Q:  How can I determine if my paper letters of evaluation have been received?

A: To view the status of your letters of evaluation after you have created your account:

  • Login to your ADEA CAAPID application
  • Go to “Evaluators” in the “My Application Status” section of your application.  The date of receipt of each of your letters is listed.  Letters are listed—if they have been received by CAAPID—even if you have not yet submitted your ADEA CAAPID application.

Q:  I need to contact ADEA CAAPID Customer Service but am unable to reach them by telephone.  What can I do?

 A: If you are unable to reach Customer Service by telephone, we suggest that you send an email to cappidinfo@caapid.org. We will make every effort to answer your email within three business days. When contacting Customer Service by email, be sure to include your full name, CAAPID ID number, and a detailed question. 

Q:  How soon should I expect a response from ADEA CAAPID Customer Service?

 A: Please allow three business days for ADEA CAAPID Customer Service to respond to your inquiry.
