All rates are per room, per night and are subject to a 7% room tax and 6% occupancy tax. Rates are available three days before and after the conference, based on availability. Reservations may be made online or by calling the hotel directly at 1-888-258-7501 and requesting the American Dental Education Association rate. 

The deadline for all reservations is Wednesday, February 14, 2018 at 5:00 p.m. Eastern Time. There is no guarantee of conference rates or room availability for reservations made after this date.

 

Deposit:
A deposit by major credit card is required at the time of booking. A deposit equal to one night’s guest room rate is required to hold each guest’s reservation. The deposit confirms the reservation for the dates indicated, and, upon check-in, will be applied to the guest’s folio. All deposits will be charged at the time the reservation is made.

Changes:
Guests may change reservations prior to arrival without penalty. 

Cancellations:
Cancellations must be received by the hotel 72 hours prior to reserved arrival date. Deposits paid by individuals are only refundable if notice is received at least 72 hours prior to reserved arrival date and a cancellation number is obtained. Guest may change or cancel reservations by phone or via electronic means available.

Early Departures:
An early departure fee of one night’s stay will apply for any individual reservation if a guest checks out of the hotel prior to the confirmed checkout date. During check-in, the hotel will confirm each individual guest’s departure date. Guests may, at that time or prior to check-in, change their departure dates without penalty.

If an event occurs that requires a guest to depart from the hotel earlier than the confirmed departure date, the hotel may waive the fee.

ADEA is unable to accept or process hotel changes or cancellations.

Check-in time is 3:00 p.m. and check-out time is 11:00 a.m. Guests arriving before 3:00 p.m. will be accommodated as rooms become available.

When using a debit card during check-in, your bank will immediately withhold the authorized amount equal to your entire stay plus incidentals from your checking account. It may take up to 10 business days for release of any holds.

Airport:
The Orlando International Airport (MCO) is the closest airport to the conference site and is the recommended airport. It is located approximately 19.2 miles from the Gaylord Palms Resort & Convention Center.


How do I get to and from the airport?
A cab ride from MCO to the hotel costs approximately $59 (estimate fare) for one person, one way, or $59 (estimate fare) for two people.

Gaylord Palms partners with Mears Transportation, a company providing Orlando transport service for over 60 years, to ensure you have a top-notch experience. A member of Mears Transportation can bring you from Orlando International Airport to the hotel as part of their 24-hour airport shuttle service. There is a charge for the service. If I drive, how do I get there, and where do I park?
Driving directions are available here. Valet parking for overnight guests is available for $33 per night. Self-parking for overnight guests is available for $22 per night.


Are travel provider discount codes available? 
Yes, the following discount codes are valid for travel to and from Orlando from 3 days before the meeting starts through 3 days after the meeting ends, based on availability.

Starting January 22, 2018, passengers who have driver’s licenses issued by a state that is not yet compliant with REAL ID and that has not received an extension will need to show an alternative form of acceptable identification for domestic air travel. You can check if your state is REAL ID compliant at dhs.gov/real-id.
