This event provides a unique opportunity for dental and other health care educators to share ideas and information and build networks to strengthen our ability to promote change. ADEA invites you to submit (individually or collaboratively, within or across institutions, specialties, and disciplines) abstracts for educational programming that describes, discusses, and promotes connections that strengthen the evidence base for sustainable interprofessional education that can lead directly to high-quality patient care. These will support the theme "Interprofessional Education: Teaching and Learning Together for Better Health."
Interprofessional education involves students and faculty of all health professions in learning and teaching complementary knowledge and skills for patient care. Collaboration and sharing across institutions and disciplines creates mutual understanding and respect and is linked to a higher quality of care. Team-based, patient-centered care is critical to meeting the future health care needs of the public.
ADEA strongly encourages thematic proposal submissions that support the theme of interprofessional education and invites proposals from all members of the health care community. ADEA only accepts proposals submitted online via the Call for Programs electronic form.
The variety and depth of ADEA Annual Session & Exhibition experiences – interactive workshops, symposia, and presentation of innovative ideas – make it the premier meeting in dental education. There's no better way to learn, connect, and explore dental education, especially within the collaborative arena of interprofessional education.

Who attends the ADEA Annual Session & Exhibition?
- 56% faculty
- 27% administrators
- 5% students
- 36% have attended two to five previous ADEA Annual Sessions
- 48% with a predoctoral program in a dental school
- 14% with a dental school-based postdoctoral program
- 11% with an allied dental education program based in a dental school
- 8% with an allied dental education program at a community or technical college
What criteria does the ADEA Annual Session Program Committee consider when reviewing submissions?
Each year, the ADEA Annual Session & Exhibition brings together individuals from dental education and the health professions. The ADEA Annual Session Program Committee, therefore, seeks variety in:
- Topics proposed
- Learning formats and variety of learner interactivity
- Delivery methods
- Level of expertise of proposers
- Interests addressed
- Professional and geographic distribution of proposers
- Relevance of the proposal to the current challenges and opportunities in dental education and the 2011 ADEA Annual Session & Exhibition’s theme, Interprofessional Education: Teaching and Learning Together for Better Health
Program proposals are peer reviewed and evaluated for
- Content and relevance
- Clarity
- Format and degree of learner interactivity
- Quality of writing
- Value of learning objectives
- Past successes of similar presentations
- Number of other submissions for the same topic

What is the submission deadline?
The educational session submission deadline is June 1, 2010.
The poster and ADEA TechExpo submission deadline is September 10, 2010.
Are there any restrictions in submitting a proposal?
- Proposal information cannot be changed after the applicable submission deadline.
- Submitters may include up to five presenters for proposals.
- Selling or promoting products is prohibited in ADEA Annual Session presentations.
- Presenters must observe copyright and trademark rules. If you plan to use copyright or trademarked resources or songs, you must obtain appropriate permissions prior to submitting your proposal.

What makes a good submission, and ultimately a great presentation?
In 2009, the ADEA Annual Session Program Committee reviewed more than 450 submissions. Competition is tough. How do you make your proposal stand out from the crowd?
Proof your submission. The site does not include a spelling or grammar check feature.
Use adult learning principles and practices. Adults learn most effectively through engagement and interactivity. Describe how your session will engage the audience and solicit participation.
Write clear and focused learning objectives. Learning objectives answer for participants the question, “At the end of the session, attendees will know more about or be able to do.…” Begin each objective with an action verb, and focus on what the participant will learn rather than what the speaker or content will cover.
Write a compelling title and abstract. A powerful title excites the reader and should convince someone to attend your presentation. When developing your session abstract, focus on what the participants will “take away.” Write concisely and in the second person (e.g., “you will learn”) and avoid writing opinions about the topic or an advertisement for the speaker. In addition, it is important to create a presentation that matches the description originally submitted. If accepted, your submitted abstract will be used in marketing materials and establish attendee expectations.
Prepare useful participant resource materials. Participant resource materials are required, because they help reinforce what they learned in your educational session. Examples of session resource materials are a copy of your PowerPoint slides (with room for note-taking), a list of recommended reading and resources, or an inventory of websites. The best materials are ones that participants can refer to long after the session ends, such as case studies with solutions, samples and templates. If your proposal is accepted, you will be expected to submit your participant resource materials electronically in a .PDF file to ADEA by January 30, 2011. ADEA will make resource materials available online at www.adea.org for registered participants.

What are the session formats?
ADEA Council, Section or Special Interest Group Program
90 minutes
A program presented by an ADEA disciplinary or interest group is more likely to be accepted if it builds on programming presented by the group during the year, or if it is developed by several groups working together. Note that only the designated officer of a Section or Special Interest Group may submit proposals for this session format.
ADEA TechExpo Presentation
3 hours
An ADEA TechExpo Presentation demonstrates computer-based technology applications used to support dental education, including enhancing educational and patient care programs and services. The ADEA TechExpo consists of tabletop demonstrations or presentations. This format is best suited for demonstration of software and hardware in an interactive one-to-one or small group setting. All presenters will be provided with individual 2’ x 4’ table space, electrical outlets, and Internet connectivity.
ADEA CCI
A program presented must address one of ADEA CCI’s eight core principles: Critical Thinking; Lifelong and Self-Directed Learning; Humanistic Environment; Scientific Discovery and the Integration of Knowledge; Evidence-Based Oral Health Care; Assessment; Faculty Development; or The Health Care Team. Programs must support ADEA CCI’s mission to build consensus among all stakeholders in dental education, research, and practice by providing leadership to a systematic, collaborative, and continuous process of innovative change in the education of general dentists, so that they enter the profession competent to meet the oral health needs of the public throughout the 21st century and to function as important members of an efficient and effective health care team. An ADEA CCI proposal can be submitted as a standalone ADEA CCI program or as a symposium, FDW, L&L, or ADEA Council, Section, or Special Interest Group Program. Programs submitted only as the latter may be designated as ADEA CCI offerings.
Faculty Development Workshop (FDW)
3 hours
Limited to 45 participants
An FDW provides an active learning environment to enhance the scholarship of teaching and learning, investigate new strategies for professional development, explore change and innovation, develop new curricular strategies, or develop collaborative research models. The best proposals will demonstrate a high level of interactivity with a well-orchestrated outline for meeting learning objectives. Note, programs must be designated by target audience: new faculty (3 years or less); mid career (4-9 years); seasoned (10+ years); appropriate for all Internet connection provided only upon request for FDWs.
Lunch and Learn (L&L)
1 hour with no audiovisual component
Limited to nine participants for each topic
An L&L is an informal lunch discussion examining critical issues facing the dental education community. The selection committee seeks program proposals that demonstrate the potential for a lively, interactive group conversation as the outcome. L&Ls repeat on the following day.
New Idea Session
25 minutes with no audiovisual component
A New Idea Session allows presenters and participants to explore a newly formed idea. The New Idea Session is designed to pique participants’ interest and introduce unique, unusual, or innovative ideas. The selection committee seeks ideas and concepts that elicit a “Wow Factor” from the audience.
Poster Presentation and Student Poster Presentation
1½ hours
Presented during exhibition hours, Poster presentations provide members the opportunity to discuss issues of mutual interest in three categories:
- New Ideas
- Educational Research
- Works in Progress
A poster author may be the primary author of, at most, two poster abstracts. A special competition is also held for Student Poster Presentations. Please note all poster abstracts, except Works in Progress, will be published in the Journal of Dental Education.
ADEA SoTLfest
Scholarship of Teaching and Learning (SoTL)-fest proposals examine how teaching and learning are valued, assessed, and rewarded. Programs describing best practices in teaching and assessment, defining scholarship, exploring proven ways of delivering ideas and knowledge, and increasing the quality of the teaching and learning experience are more likely to be accepted. An ADEA SoTLfest proposal can be submitted as a standalone SoTLfest program or as a symposium, FDW, L&L, or ADEA Council, Section, or Special Interest Group Program. Programs submitted only as the latter may be designated as SoTLfest offerings.
Symposium
2 hours
A symposium specifically addresses a topic relevant to the theme of the 2011 ADEA Annual Session & Exhibition, Interprofessional Education: Teaching and Learning Together for Better Health. Provocative proposals that demonstrate evidence-based and interactive learning and are grounded in well-reasoned thinking and experience are more likely to be accepted. Note that ADEA Councils, Sections or Special Interest Groups should not submit proposals to the symposium format and instead submit to the 90 minute ADEA Council, Section or Special Interest Group Program format.
What is an ADEA SoTLFest, ADEA CCI, or ADEA Leadership Institute Alumni Association (ADEA LIAA) designation?
Your program may qualify for special reorganization with the follow designations:
ADEA SoTLfest
The Scholarship of Teaching and Learning (SoTL) is a movement within education and dental education. Involvement in SoTL can enhance one’s role as an educator. The ADEA SoTLfest at the ADEA Annual Session & Exhibition involves a community of scholars, teachers, and learners who want to discuss ideas, share knowledge, and stimulate thinking.
ADEA SoTLfest participants can be recognized for their participation and professional development. To be eligible for an ADEA SoTLfest Certificate of Recognition, attendees must attend the designated SoTLfest symposium and three other SoTLfest-designated events.
ADEA CCI
An ADEA CCI program presented addresses one of ADEA CCI’s eight core principles: Critical Thinking; Lifelong and Self-Directed Learning; Humanistic Environment; Scientific Discovery and the Integration of Knowledge; Evidence-Based Oral Health Care; Assessment; Faculty Development; or The Health Care Team. Programs must support ADEA CCI’s mission to build consensus among all stakeholders in dental education, research, and practice by providing leadership to a systematic, collaborative, and continuous process of innovative change in the education of general dentists, so that they enter the profession competent to meet the oral health needs of the public throughout the 21st century and to function as important members of an efficient and effective health care team.
ADEA Leadership Institute Alumni Association (ADEA LIAA)
The ADEA Leadership Institute Alumni Association (ADEA LIAA) encourages presentation of sessions that help to further the leadership and personal development of future leaders in dental and higher education. If you are a member of the ADEA LIAA and have submitted a program proposal (SoTLfest program or a symposium, FDW, L&L, or ADEA Council, Section, or Special Interest Group Programs), be sure to indicate your affiliation on the submission form.
How many proposals may I submit?
You may submit up to three proposals for the 2011 ADEA Annual Session & Exhibition.
For how many sessions may I serve as a speaker, panelist, or moderator?
An individual may participate as a speaker, panelist, and or moderator a total of three times throughout the duration of the 2011 ADEA Annual Session & Exhibition.
How many co-presenters may I have for a session?
The ADEA Annual Session Program Committee appreciates the value that varied perspectives add to a presentation. However, to ensure that the participants benefit from all speakers, the number of co-presenters is limited to five (including, if needed, a moderator or chair).
Is there a presenter ready room on site where I can practice my presentation?
Yes, there will be a presenter ready room equipped with workspace and a computer with Internet connection.
What audiovisual equipment is available?
One LCD projector and stand, one laptop computer, one large screen, a lectern with a microphone, and a head table with four microphones are provided for:
- ADEA Council, Section or Special Interest Group programs
- ADEA CCI programs
- Faculty Development Workshops (FDWs)
- ADEA SoTLfest programs
- Symposia
No audiovisual equipment is provided for Lunch & Learns and New Idea Sessions.
A 2’ x 4’ table space with electrical outlets and Internet connectivity is provided for ADEA TechExpo Presentations.
If requested, additional audiovisual equipment can be provided for a modest service charge to the presenter(s). Please contact Mr. Britt Brannan with Freeman Company at britt.brannan@freemanco.com to order additional equipment.
Will an Internet connection be provided for presentations?
There will be no Internet connection.
Who sets up the audiovisual equipment?
Audiovisual equipment will be set up for you by the ADEA-contracted audiovisual company before presentations. Presenters must arrive at the meeting room at least 15 minutes prior to start to check audiovisual and set up.
Are participant resource materials required for my program?
Yes, if you present a session. They are not required for Poster Presentations or ADEA TechExpo presentations. Examples of participant resource materials include copies of your PowerPoint slides (with room for note-taking), a list of recommended reading and resources, or an inventory of websites. The best materials are ones that participants can refer to long after the session ends, such as case studies with solutions, samples, and templates. I want to provide handouts to those attending my session. Does ADEA handle production?
ADEA does not produce printed handouts for distribution at the ADEA Annual Session & Exhibition. Presenters who provide handouts are responsible for their production, costs, and distribution.
My poster presentation has been accepted. What do I need to know?
- Authors will be notified in advance of the identification number of their poster.
- Posters will be hung and displayed all day on the day presentations are scheduled. They must be removed after presentation times.
- Either the author or co-author must stay with the poster display for the ENTIRE scheduled period.
- For security measures, only registered poster presenters will be allowed on the exhibition floor to set up their posters during stated setup and teardown times. Ribbons must be worn to gain access to the floor. You will receive your ribbon when you check in.
- The American Dental Education Association is not responsible for posters and materials left on boards after the stated hours.

My ADEA TechExpo presentation was accepted. What do I need to know?
- The ADEA TechExpo consists of tabletop demonstrations or presentations.
- This format is best suited for demonstration of software and hardware in a one to one or small group setting, to provide an environment that promotes more interaction.
- All presenters will be provided individual table spaces (2' x 4'), electrical outlets, and internet connectivity. Your table will also have a sign listing the title of your presentation.
- The ADEA TechExpo format does not support poster presentations.

Honoraria, Travel, and Conference Registration
Costs associated with attending the 2011 ADEA Annual Session & Exhibition are the responsibility of the individual speaker or presenter. Presenters and speakers are not provided with honoraria or a registration discount.
Do presenters need to register and pay to attend the ADEA Annual Session & Exhibition?
Yes, all presenters are required to register and pay to attend the ADEA Annual Session & Exhibition. Registration fees can be found on www.adea.org.
Are presenters' expenses covered?
Presenters are responsible for their own hotel and travel expenses. Travel and housing information can be found on our website at www.adea.org. Check back regularly for updates.
What if I have to withdraw my proposal?
Contact opd@adea.org. ADEA must receive this communication in writing in order to withdraw your proposal.
Are all proposals accepted?
No. All proposals are peer reviewed based on specific criteria.
When will I know if my proposal is accepted?
Submission result notification letters will be emailed in mid to late September 2010. If you have not received an email notification by October 31, 2010, please check your spam filters and then contact us at opd@adea.org to verify your status of your proposal.
What happens if my contact information has changed since the submission process?
Please notify us immediately at opd@adea.org if your contact information changes.
What do I need to do when I receive notice my presentation has been accepted?
Verify that all the information in the presentation was accurate and error-free presentation submission. If you have co-speakers, are they listed correctly? Is your contact information correct?
